A useful pipeline answers one question at a glance: what must happen next for this inquiry to become booked business? Build stages around meaningful buyer progress.

Name outcome-based stages

Use stages such as New inquiry, Qualified, Proposal sent, Decision and Confirmed. Avoid vague labels that describe activity without showing progress.

Set stage expectations

  1. Define what must be true before a deal enters each stage.
  2. Add probability only when your team can apply it consistently.
  3. Set an expected close date that reflects the booking decision, not the stay date.

Review the board

Look for stalled deals, empty stages and opportunities without a next activity. If a stage never helps the team decide what to do, remove it.
